Accounting and ERP integration for HOA, condo and building management

The books stay in the accounting or ERP system you already run. Unitify adds what residents and staff touch: requests, announcements, the resident app, meter readings and the building record.

This page says which accounting systems can be connected, which data moves and in which direction, what works today and what is set up for your project.

Short answer

Any accounting or ERP system that has an API or can export a file can be connected. Today data moves by Excel or CSV file and over the open API. There is no live two-way sync out of the box; a link to your specific system is set up per project, starting with a test building.

What this connection is for

  • Keep the ledger where it is

Accounting, statements and the books stay in your system. Unitify is not a ledger replacement.

  • One record of the building

Buildings, apartments, owners, requests, announcements and meter readings live in Unitify and stay in step with your records.

  • No re-typing

Opening data comes in once from a file or an export, so nobody retypes owner lists or balances by hand.

What data moves, and in which direction

Each line says whether it works today or is set up for your project.

  • Works today

    Buildings, apartments, owners: into Unitify

Excel import in the admin panel, or an export from your system that we map once.

  • Works today

    Meter readings: into Unitify

From an Excel file, from a CSV file in the format an accounting system exports, or over the API from your metering system.

  • Works today

Payments, requests, contacts, readings: out of Unitify

Excel export for your accountant. Payments, properties, contacts, requests and meter readings each have their own export.

  • Set up per project

    Opening balances: into Unitify

Loaded from the same file or export, then checked against your records so balances match before anyone relies on them.

  • Set up per project

Charges from your system: into Unitify

Receipts and charges pushed through the billing API, with the mapping built for your system.

  • Set up per project

A scheduled link to your system

An exchange through your system's own API, on a schedule or on an event. Assessed per system; there is no ready-made plug-in.

How a connection is set up

  • Works today

    File

Import and export in the admin panel in Excel; meter readings can also arrive as a CSV file. Nothing to install and no access to your system needed.

  • Works today

    Open API

A GraphQL API to create, read and update buildings, owners, requests and meter readings. Billing records (accounts, receipts, payments) carry an importId for the identifier from your system. Part of the Pro plan.

    Open API and webhooks
  • Works today

    Webhooks

Unitify calls your address when a request or contact changes. We register the address for you.

  • Set up per project

    Your system's API

If your system exposes an API, we read its documentation and build the exchange for your project.

What you provide

  • Access or an export

Buildings, apartments, owners and balances, as an export or through access to your system.

  • The API or file description

The API documentation of your system or the file format of its export.

  • A test building

One building to prove the connection on before the rest.

The honest limits

  • No live two-way sync out of the box. Hand your accountant an Excel export or exchange files. A scheduled link to a specific accounting or ERP system is possible and is assessed per system.
  • No list of supported systems. The connection depends on the interface of your system, not its name. We confirm a specific system before you commit.
  • Not a ledger. Unitify tracks charges and requests; the books stay in your accounting system.

Accounting and ERP: questions

Do we have to replace our accounting or ERP system?

No. It stays where your books are. Unitify adds the resident layer on top, and you decide later whether to move more.

Which accounting systems can you connect?

Any system with an API or a file export can be assessed. We do not publish a list of systems, because the connection depends on the interface, not the name. Tell us yours and we confirm it before you commit.

Is there a live two-way sync?

Not out of the box. Data moves by Excel or CSV file and over the open API. A scheduled or event-driven exchange with your system is built per project.

What do you need to start?

An export or access to your current system, the API documentation or file format, and one test building.

Can both systems run side by side?

Yes. Unitify can run next to your system for a trial period, or mirror its data while you keep working where you are.

Is API access included?

API access is part of the Pro plan. The live pricing page has the current plan details.
