Software for body corporate trustees and managing agents in South Africa
Under the Sectional Titles Schemes Management Act 8 of 2011, every sectional title scheme has a body corporate that keeps an administrative fund and a reserve fund and raises levies from owners by quota. Unitify keeps levies and balances per unit, sends reminders and gives residents an app.

Close the month in minutes
Easybilly applies each building’s own rules, generates the invoices and sends them to the resident app. Every line says where its number came from.
- Import apartments, owners and opening balances from Excel or your old system.
- Charge per square meter, per apartment, per resident or a flat amount.
- Residents get a PDF with a QR code. Paying in the app needs a payment provider connected for your buildings; we agree it per project.
Meet your 24/7 dispatcher
AI Concierge answers every call and chat, creates tickets and keeps residents posted. A human approves every decision.
- Resident: Hello! I just noticed there’s no hot water in my apartment. Could you look into what’s going on?
- AI Concierge: Hi there! Thanks for letting us know. We’ll send a technician to take a look within the next hour. Could you confirm someone will be home?
- Resident: The technician, Thabo, just left — everything works.
- AI Concierge: Glad to hear it! I’ve marked the request as resolved. From your first message to the fix: 52 minutes.

Questions body corporate trustees and managing agents in South Africa ask
When does a body corporate come into existence?
From the date any person other than the developer becomes the owner of a unit in the scheme; from then on, every owner of a unit is a member (Sectional Titles Schemes Management Act 8 of 2011, s. 2(1)). The body corporate is responsible for enforcing the rules and for the control, administration and management of the common property for the benefit of all owners (s. 2(5)), and the Companies Act, 2008 does not apply to it (s. 2(6)).
Which funds must the body corporate keep?
An administrative fund reasonably sufficient to cover the estimated annual operating costs, and a reserve fund reasonably sufficient to cover future maintenance and repair of the common property, but not less than the amounts the Minister prescribes. It may also open and operate an account with a registered bank or other financial institution (s. 3(1)).
How are levies shared between owners?
The body corporate raises the amounts it determines by levying contributions on the owners in proportion to the quotas of their sections. Owners with exclusive use of part of the common property pay an additional contribution for its rates and taxes, insurance and maintenance, unless the rules make them responsible for those costs directly (s. 3(1)).
When does a levy become payable, and can we go to CSOS over arrears?
Liability for a levy accrues when the trustees pass the resolution, and the body corporate may recover it by an application to an ombud from the persons who were owners at that time; a new owner is liable pro rata from the date ownership changes (s. 3(2)). The Act defines the ombud by reference to the Community Schemes Ombud Service Act, 2010 (s. 1).
Does the body corporate have to certify each owner’s levy position?
Yes. Annually, or whenever the levy changes, it must certify in writing the contribution of each owner, how it is payable and how much each owner has paid (s. 3(5)).
Who runs the body corporate day to day, and can it hire a managing agent?
The trustees exercise the body corporate’s functions and powers, subject to the Act, the rules and any direction given at a general meeting of owners (s. 7(1)). The body corporate may appoint such agents and employees as it considers fit (s. 4).
How much notice is needed for a special or unanimous resolution?
At least 30 days’ written notice to all members specifying the proposed resolution, unless the rules provide for shorter notice (s. 6(2)). The notice is delivered by hand or sent by registered post (s. 6(3)), and may in addition be sent by fax or email (s. 6(4)).
What does Unitify do, and does it run debit orders?
Unitify keeps a balance per unit, sends automatic reminders and sends the levy to the resident app. Debit orders and EFT are not integrated with Unitify: owners pay as they do today and Unitify records the payment against the right unit.
