Warranty claims: one inbox, one status, no chaos
The warranty period is where a developer's reputation is made. Claims arrive in calls, messengers and email, nobody knows which are still open, and the same crack is reported three times by three neighbors.
This guide shows how to organize warranty intake for a whole complex in any country, and what Unitify does at each step. It does not state warranty periods or who is liable: those depend on your contract and local law, and your lawyer owns that part.
How to organize warranty claims
- 1
Give buyers one door for claims
Pick the channel you tell every buyer about at handover: the resident app, with a phone number as the backup. Every claim gets a number from the first minute.
- 2
Capture the same facts every time
Apartment, category (door, window, plumbing, finishing, electrics), a photo, a description and a convenient time for the visit. A claim without an apartment and a photo costs a second visit.
- 3
Decide whether it is a warranty case
Check it against the end date of the warranty on the building and the scope in your contract. Mark it as warranty, so reports separate it from ordinary maintenance.
- 4
Assign a contractor and a date
Every claim has one owner on your side and one contractor with a date. Routing by trade, so window claims go to the window contractor, saves the dispatcher's day.
- 5
Tell the resident the status
Received, assigned, done. A resident who can see the status does not call to ask.
- 6
Close with a check
A claim closes when the resident or your inspector confirms the fix. Keep the photos from before and after.
- 7
Read the pile every month
Repeated categories show which contractor or building system to fix first, and feed back into the next project.
How Unitify does it
A warranty request type with categories
Requests can be marked as warranty, with categories such as doors, windows, plumbing, finishing and electrics, so warranty work is counted apart from maintenance.
The warranty end date on the building
Set the handover date and the developer's warranty end date once per building, and your team sees which claims are still covered. Remarks from apartment acceptance become warranty claims automatically.
One log with a status, an address and an assignee
Claims come from the resident app, the Telegram bot or your dispatcher after a call, and each one is a tracked request with photos.
Residents see the status
The resident follows the claim in the app until it is closed, instead of calling the office.
Built for your project
A separate cabinet where your general contractor and subcontractors see only their claims and update the status themselves is built for the project and discussed on a demo. Today claims are assigned to your own people and technicians. Deadlines, escalation rules and monthly warranty reports are set up with you for your procedure.
A demo site of your residential complex in 1 hour
Tell us about your complex. We build a demo site of it in 1 hour, and show a warranty claim on that building at a call.
Send us your company website and your country. We build a demo site of your complex on unitify.homes with your logo and colors, your buildings and the pages residents see, and send you the link within 1 hour on working days.
- Free, no card and no obligation
- Your logo, colors and complexes, taken from your website
- If your website blocks automated access, we assemble the demo by hand and tell you how long it takes
Already know what you need? Skip the demo site and book a 30-minute call.
Book a 30-minute callWarranty claims: questions
How long is the warranty period and who is liable?
That depends on your contract and the law of your country, so this page does not state it. Unitify records the end date you set for each building and applies it to claims; the legal terms stay with your lawyer.
Can residents send a claim without calling?
Yes. A resident sends it from the app with a photo, and your dispatcher can also enter a claim after a phone call. Both end up in the same log.
Can our contractors work in the system?
Claims can be assigned to technicians today. A dedicated cabinet for your general contractor and subcontractors is built for the project; we agree the scope on a demo.
What happens to the remarks from apartment acceptance?
Remarks from apartment acceptance are created as warranty claims automatically while the developer's warranty runs on the building, and the resident sees them in the app.
Does it work if another company manages the building after handover?
That depends on who owns the building in the system after handover, because it decides who sees the claims. Tell us your case on a demo and we agree the setup.
