Apartment acceptance: one checklist, one signed act, no lost defects

Acceptance is the first time a buyer meets your service. When hundreds of apartments are ready in the same month, paper acts, photos in a chat and a table of defects nobody can find are how remarks get lost and claims pile up later. The same job is called snagging, a handover inspection or a punch list in different markets.

This page is a practical guide to running acceptance well in any country, and it shows how Unitify does the paperwork: the act and the defect list are produced in about 10 seconds, in the language of your buyers.

How to run acceptance for hundreds of apartments

  1. 1

Fix one checklist per apartment type

Entrance door and locks, walls and ceilings, floors, windows and balcony doors, plumbing, electrics and meters, ventilation and heating, finishing. Use the same wording for every apartment, so a remark in apartment 12 and in apartment 412 means the same thing.

  2. 2

    Record the starting state

Meter readings, the keys given, and photos of anything already damaged. This is what protects you from a claim about a defect that was not yours.

  3. 3

    Inspect together

Walk the apartment with the buyer, mark each point as accepted or with a remark, and photograph every remark on the spot. A remark without a photo becomes an argument later.

  4. 4

    Sign once, on the spot

Both sides sign the act, the buyer takes a copy that minute, and the defect list goes to the team that will fix it. Nothing waits for the evening.

  5. 5

    Fix, then inspect again

Each defect has an owner and a date. When the contractor reports it done, the same apartment is checked against the same list and the buyer confirms.

What the act and the defect list should contain

The inspection is the same in every country. What differs is the legal wording of the act and the documents attached to it, which your lawyer approves for each project.

  • Project, building, entrance, apartment number and area
  • Date and time of the inspection
  • Names and roles of both signers
  • Meter readings and the keys handed over
  • The checklist with a status for every point
  • Every defect with the room, a description and a photo
  • The agreed deadline for fixing each defect
  • Signatures of both sides

How Unitify does it

  • A checklist template for apartment acceptance

Entrance door, finishing, engineering and meter readings, room by room. We adapt it to your apartment types on a demo.

  • One inspection per apartment, created in bulk

Create the inspections for many apartments at once instead of one by one.

  • Two signers, photos on every remark

Your inspector and the buyer sign on the screen. Photos are taken on the phone and attached to the point.

  • The act and the defect list as documents

Both are produced as PDF with photos in about 10 seconds, in the language of your buyers.

  • Defects become warranty claims

While the developer's warranty runs on the building, remarks from acceptance are created as warranty requests. The resident sees them and their status in the app.

  • Re-inspection and a journal

Check the same apartment again against the same list, and export every inspection to Excel.

Set up for your project

We adapt the checklist to your apartment types and put your logo, your legal paragraph and your annexes on the act. We do not supply a legal template for any particular country: your lawyer approves the wording, and the inspection records what your people find. The only part built per project is a separate cabinet where your contractors close their own defects; we discuss it on a demo.

A demo site of your residential complex in 1 hour

Tell us about your complex. We build a demo site of it in 1 hour, and show acceptance on that building at a call.

Send us your company website and your country. We build a demo site of your complex on unitify.homes with your logo and colors, your buildings and the pages residents see, and send you the link within 1 hour on working days.

  • Free, no card and no obligation
  • Your logo, colors and complexes, taken from your website
  • If your website blocks automated access, we assemble the demo by hand and tell you how long it takes

Optional. We take your logo and colors from it.

An email, a Telegram or WhatsApp handle, or a phone number.

Optional. For example: number of apartments, handover date, what you use now.

We use these details only to answer you and prepare your demo. They reach the Unitify team through a private channel and are not shared with anyone else. To correct or delete them, write to [email protected].

Apartment acceptance: questions

Can we use the same acceptance form in every country?

The inspection is the same everywhere: rooms, points, readings, photos and signatures. What differs is the legal wording of the act and the documents attached to it. Unitify produces the act with the text your lawyer approves for each project, in the language of your buyers.

How long does it take to produce the act?

About 10 seconds per document. The act and the defect list are generated from the inspection you have already filled in.

What happens to defects after the act is signed?

Defects become requests, grouped by room or trade, each with an owner and a date. While the developer's warranty runs on the building, they are created as warranty requests, and the resident sees their status in the app.

Can we start with one building?

Yes. Send us your company website and we build a demo site of your complex in 1 hour. Then we agree how to run a first building.

Does this replace technical supervision?

No. It documents what your inspectors and the buyer find and tracks the fixes. The technical judgement stays with your people.
