Reducing Inadimplência in a Brazilian Condomínio: A Process, Not a Chase

Inadimplência, delinquency on the monthly taxa condominial, is the line item that quietly does the most damage to a condomínio's finances. It is also the one most often treated as an individual chase rather than a process: someone calls the resident who is three months behind, has an awkward conversation, and moves on to the next one. That approach does not scale, and it depends entirely on someone remembering to make the call.

Collectability is a process, not a phone call

The alternative is to treat inadimplência as something a system manages by default, and a person only steps into when it actually needs judgment.

Start with a clear boleto. A boleto that is easy to read, arrives with enough notice, and carries a QR code for one-tap payment removes one of the quietest causes of "late" payment: a resident who simply did not get around to it because paying was more friction than it needed to be.

Remind before the due date, not after. A message a few days before the deadline catches residents who intend to pay and just haven't gotten to it yet, cheaper to send, and far less confrontational, than a reminder after the account is already overdue.

Automate the follow-up sequence once an account is late. A fixed sequence, a reminder at day one past due, another at a set interval, visibility for the síndico at each stage, means no account falls through the cracks because nobody happened to check that week.

Make payment status visible to the síndico at all times. The síndico should be able to see, at a glance, exactly which units are current, which are late, and which have entered the escalation sequence, without pulling together a report from three different sources.

Know when to escalate, and to what. At some point a repeated non-payer becomes a legal question, not an operational one. This article intentionally does not spell out the legal mechanics of collection: fines, interest, formal notice, because that depends on the convenção do condomínio (the building's own bylaws) and on local rules that need primary-source verification before anyone acts on them. What a good process does is make that moment obvious and well-documented, so whoever handles it, the síndico, a lawyer, the administradora, starts from a clean record instead of a guess.

Why this is worth building once, not repeating monthly

None of these steps is complicated on its own. What makes inadimplência expensive is doing all of them by hand, every month, for every unit, and having the whole thing depend on one person's memory. A billing system that runs the boleto, the reminder and the follow-up sequence automatically, and shows the síndico exactly where things stand, is the difference between collectability being a monthly fire drill and being a number that quietly stays healthy on its own. That is the thesis behind Unitify's Easybilly module: the value in a billing system is not the invoice, it is what happens after the invoice if nobody pays it.

If inadimplência in your condomínio still gets handled case by case, book a demo to see how the reminder-and-follow-up sequence runs on its own.

Frequently asked questions

What is inadimplência in the context of a condomínio?

Inadimplência is delinquency: a unit owner who has not paid the taxa condominial (monthly fee) by the due date. Left unmanaged, it is usually the single largest source of a condomínio's cash-flow problems.

What reduces inadimplência more reliably than chasing late payers?

A repeatable process: a clear boleto sent on time, a reminder before the due date, an automatic follow-up sequence once an account goes overdue, and visible status for the síndico, rather than case-by-case phone calls after the fact.

When should a síndico escalate a delinquent account?

This piece does not set that threshold. It depends on the convenção do condomínio and local rules, which should be checked before deciding when and how to escalate.

Does a billing system replace the need for legal follow-up?

No. A system tracks and reminds; whether and how to pursue an overdue account beyond that is a legal question for the síndico to resolve against the convenção do condomínio and applicable local rules.
