Every maintenance request reaches the right technician, with a deadline
Requests come in through your residents’ app or from your dispatcher. You set the categories, the assignment rules and the deadlines once; after that each request is classified, assigned and followed until it is closed. Request classification and the staff assistant are AI features, billed in AI credits.
What gets done
- Reads each new request and proposes a category, the problem and the place.
- Scores urgency from 1 to 5 and writes the reason, if you switch urgency scoring on.
- Assigns the executor by category, with the rules you set, and sets the deadline for the request type.
- Tells staff and the resident when a request is created and when it changes.
- Gives the technician today’s list, with photos and status updates from the job.
- Plans technicians’ days for you, if you switch auto-scheduling on.
How one request goes from the resident to closed
A resident reports a leak in the evening. Read it as a list of steps: who does each one, and where a person decides.
Water is dripping from the ceiling in my bathroom, building B, apartment 12.
Request opened. Category: plumbing, leak. Urgency 4 of 5: risk of water damage to the apartment below.
Assigned to Carlos (plumber) by your rule “Plumbing → Carlos”. Deadline: tomorrow, 9 am.
Carlos is off sick. Give it to Luca and keep the deadline.
You confirm: change executor Change executor from Carlos to Luca. Deadline unchanged.
Start task. Photo of the pipe. Done.
The resident gets a push: your request is closed. Staff see the change.
Urgency appears only if your organisation switched urgency scoring on. The dispatcher’s change is the only point in this example where a person decides; the rest ran by the rules you set.
Who does what
AI
- Reads the resident’s text and proposes the category, the problem and the place (request classification, on Base and Pro, in AI credits).
- Scores urgency from 1 to 5 with a written reason, only if urgency scoring is on in your settings.
- When staff ask the assistant to reassign a request or change its status, it prepares the change and shows it for confirmation.
Automation
- Assigns the executor by category, with your rules.
- Sets the deadline from the request type.
- Sends a push to staff and to the resident when a request is created or changes.
- Plans technicians’ days when auto-scheduling is on (manual, suggest or auto; manual by default).
Our team
- Sets up categories, assignment rules and deadlines when you start.
Your staff
- The technician takes the job in the Unitify Master app: today’s list, photos, status updates.
- The dispatcher changes the plan when someone is off.
- The manager decides the cases the rules do not cover.
You approve: The rules are approved once, in settings. When anyone asks the assistant to reassign a request or change its status, a card appears with Confirm and Cancel, and nothing changes until a person presses Confirm. Every action is recorded.
What changes for each person
Steps move off the person; the decisions stay with them. This page shows who does which step, not how many people you need.
Chairman or board member
- Take calls from neighbours, pass each one on, ask later what happened.
- Every request has an owner, a status and a deadline in one list, and the resident sees the same status.
- Decide on repairs and budgets, and change the rules when the building changes.
Accountant
- Ask around which jobs were finished before paying a supplier.
- Closed requests carry their type (regular, payable, warranty) and their assignee in one list that exports to Excel.
- Pay the supplier and book the cost in your own accounts.
Dispatcher
- Answer the phone, write the request down, decide who goes, call the plumber, chase the status, call the resident back.
- Requests arrive categorised, with an assignee and a deadline from your rules, and the overdue ones stand out in the list.
- Change the plan when someone is off, and confirm what the assistant suggests.
Add it to the setup you have
You do not start from zero, and you do not switch everything on one day.
Send us your export
An Excel or CSV file of buildings, apartments, owners and balances from the system you use today. We load it and reconcile it, so balances match before anyone relies on them.
Run on top of what you have
Accounting and the books stay in your system. Unitify takes the resident side and mirrors the data. Connecting a specific system is set up per project and starts with a test building.
Start free on one building
Sign up for the free plan, add one building and move this one job over. No card, no expiry.
How we move you over
Once you give us access, we move you over within one week. Or Unitify runs on top of your current system and mirrors its data, so you do not have to switch everything at once.
- 1
You share access or exports
Open your current system to us, or send exports: buildings, apartments, owners and balances.
- 2
We import and reconcile
We load everything into Unitify and check it against your records, so balances match before anyone relies on them.
- 3
A trial period alongside, or mirroring
Run Unitify next to your current system for a trial period, or keep working where you are while Unitify mirrors its data.
- 4
You switch
When you are ready, Unitify becomes the system you work in.
What it costs
The request list and the technician app are core features on every plan, including Free. Request classification is on Base and Pro. AI operations are billed per operation in AI credits on top of the plan price (the price list is below). The live pricing page shows every plan.
AI operations and credits
AI features are billed per completed operation, on top of the per-apartment price. 1 AI credit = $0.01. Each operation has a set number of credits and an included processing budget; an operation that exceeds its budget counts as two.
| AI operation | What is included | Credits |
|---|---|---|
| AI concierge chat dialogue | One resident, one topic, up to 20,000 tokens of processing | 25 |
| AI concierge voice reply | One minute of conversation, including speech recognition and synthesis | 15 |
| Request classification | Category, urgency and assignee, up to 3,000 tokens | 2 |
| AI report | One report per building or organisation, up to 50,000 tokens | 50 |
| Document parsing | One page of technical documentation or a supplier invoice | 5 |
The first 500 credits each month are included in Pro and do not roll over.

Maintenance requests: questions
How does a maintenance request get to the right person?
The resident sends it from the app, or the dispatcher enters it after a call. If request classification is on, the AI proposes the category; your assignment rules then pick the executor for that category, and the request type sets the deadline.
Can the AI assign a technician on its own?
No. The AI classifies the request; the executor comes from the assignment rules you set for the category it found. The AI credits list names the operation “category, urgency and assignee”: in your account the assignee is the one your rules give for that category. When staff ask the assistant to reassign, it prepares a change that a person confirms. Auto-scheduling is optional and off by default.
What does the resident see?
The status of their own request, from open to closed, and a push notification when it changes.
Does this work for a self-managed HOA board?
Yes. One person can be chairman, dispatcher and the one who confirms. Start on the free plan with one building; the AI features are on the paid plans and billed in AI credits.
Can I move my current list of requests over?
Yes. Tickets can be imported from a file. Once you give us access, we move you over within one week, or Unitify runs on top of your current system and mirrors its data.
Which channels does the AI work in?
In the residents’ app chat, once you switch the AI chat on for your organisation, and in the staff assistant in the management panel. Requests come in through the residents’ app or from your dispatcher.
What does the technician app cover?
Today’s jobs and a calendar for the day, route, call and chat with the resident, photos, status updates with a task timer, and offline work that syncs when the phone is back online. A technician can also create a request from the phone, by voice.
What does it cost?
The request list and the technician app are core features on every plan. AI features are billed in AI credits on top of the plan price. Every price is on the live pricing page.
