Delinquent HOA dues: see who owes what, and notify each owner in one step
For community associations that run billing in Unitify. Balances follow charges and payments per unit; a person sends the reminder, with each owner’s own amount.
What gets done
- Keeps a balance for every unit from its charges and payments, so no amount is typed by hand.
- Shows who is behind on the building map and in a debtor list that exports to Excel.
- Calculates late fees by the rules you set.
- Sends one announcement to every unit in arrears, each with its own amount, now or at a time you choose.
- Shows each owner their charges and payments in the residents’ app, and takes payments there where a payment channel is connected.
How one round of arrears notices goes
The accountant checks the month, the chairman sends the notice. Read it as a list of steps: who does each one, and where a person decides.
How much is unpaid in building 5 this month?
Building 5, this month: $18,400 billed and not yet paid; 62% of charges collected so far. Open the building map to see each unit’s balance.
Opens “Announcement to debtors”: each unit in arrears, with its own amount.
You confirm: notice to debtors Announcement to debtors: each of the 37 units gets its own amount. Send now or schedule?
Sent as a push in the residents’ app to the 37 units. Nothing else is sent.
A resident pays in the app, where a payment channel is connected, and the payment posts to the unit’s account.
Reminders go out when a person sends them, now or at a time they choose, as a push in the app.
Who does what
AI
- Answers “how much is unpaid this month, and what share is collected” in the admin panel assistant (AI credits).
Automation
- Keeps each unit’s balance from its charges and payments.
- Calculates late fees by the rules you set.
- Posts online payments to the unit’s account.
Our team
- Loads your opening balances from your file and checks them against your records.
- Sets up tariffs and account numbers with you when you start.
Your staff
- The manager chooses who gets the notice and presses Send.
- The accountant reviews each period before it is released.
You approve: You choose who receives the notice and press Send or Schedule. Tariffs read by the setup wizard are shown for review before they are saved.
What changes for each person
Steps move off the person; the decisions stay with them. This page shows who does which step, not how many people you need.
Chairman or board member
- Read a list of names, then write to or call each owner who is behind.
- See the units in arrears with their amounts, and send one notice that gives each owner their own figure.
- Decide when to send, and what your governing documents and state law allow you to do next.
Accountant
- Reconcile the owners’ ledger by hand and copy each amount into a message.
- Balances follow charges and payments per unit, and the debtor list exports to Excel.
- Keep the books in your accounting system and review each period before it is released.
Dispatcher
- Answer “did you get my payment?” from a spreadsheet.
- Each owner sees their own charges and payments in the app, so fewer of those calls reach you.
- Answer the questions that remain, and record payments made outside the app.
Add it to the setup you have
You do not start from zero, and you do not switch everything on one day.
Send us your export
An Excel or CSV file of buildings, apartments, owners and balances from the system you use today. We load it and reconcile it, so balances match before anyone relies on them.
Run on top of what you have
Accounting and the books stay in your system. Unitify takes the resident side and mirrors the data. Connecting a specific system is set up per project and starts with a test building.

How we move you over
Once you give us access, we move you over within one week. Or Unitify runs on top of your current system and mirrors its data, so you do not have to switch everything at once.

- 2
We import and reconcile
We load everything into Unitify and check it against your records, so balances match before anyone relies on them.

Run Unitify next to your current system for a trial period, or keep working where you are while Unitify mirrors its data.
- 4
You switch
When you are ready, Unitify becomes the system you work in.
What it costs
Billing is an add-on at $0.5 per invoice, and it is included on Pro. The plans themselves start at $0 on Free. The assistant’s answers are AI operations, billed in AI credits on top of the plan price (the price list is below). The live pricing page shows every plan.
AI operations and credits
AI features are billed per completed operation, on top of the per-apartment price. 1 AI credit = $0.01. Each operation has a set number of credits and an included processing budget; an operation that exceeds its budget counts as two.
| AI operation | What is included | Credits |
|---|---|---|
| AI concierge chat dialogue | One resident, one topic, up to 20,000 tokens of processing | 25 |
| AI concierge voice reply | One minute of conversation, including speech recognition and synthesis | 15 |
| Request classification | Category, urgency and assignee, up to 3,000 tokens | 2 |
| AI report | One report per building or organisation, up to 50,000 tokens | 50 |
| Document parsing | One page of technical documentation or a supplier invoice | 5 |
The first 500 credits each month are included in Pro and do not roll over.
Where this has run
- Ande Tower, Batumi: collection of monthly charges went from 40% to 80% in six months.
- Avant Park, Baku: the share of collected payments made in the resident app went from 19% in June 2026 to 74% in August 2026.
Delinquent dues: questions
How do I collect delinquent HOA dues?
Start with an accurate balance for every unit and a clear notice to each owner. What you may do after that, such as late fees, liens or collection, depends on your governing documents and state law, which Unitify does not decide. In Unitify the balance is kept per unit, and one announcement gives every owner their own amount.
Does Unitify send reminders automatically?
No. A person sends the reminder, from the building map, now or at a time they choose. It goes out as a push in the residents’ app.
Can owners pay in the app?
Where a payment channel is connected in your country, yes, and the payment posts to the unit’s account. Where none is, owners get a PDF invoice and the payment is recorded by you.
Can I see who is behind in one place?
Yes. The building map shows the debtor balance per unit, and the debtor list exports to Excel.
Is Unitify my accounting system?
No. The books stay in your accounting system; you hand your accountant an export of charges and payments.
How do owners without the app get a reminder?
Reminders go out as a push to owners who use the app. You reach the others by letter, or the way your rules require.
What does it cost?
Billing is an add-on charged per invoice and included on the top plan; the plans and the AI credits are on the live pricing page.
