What do our bylaws say? An answer from your own documents in a minute
For boards and managers who keep bylaws, rules, contracts, tariffs and minutes in Unitify. The AI searches only your organisation’s documents and answers with the passage, the document and the page. A person checks the source before acting.
What gets done
- Indexes every document you upload (PDF, Word, Excel; scans are read with OCR) and shows whether each one is indexed, still indexing or failed.
- Searches your organisation’s documents by meaning, not only by keyword, and can be narrowed to a building or a document category.
- Answers with the quote, the name of the document and the page, so you know which document and page to open.
- Pulls your documents into the answer on its own when the question is about a contract, a rule or a document.
- Shows residents only the documents you marked as visible to residents.
How one question about the bylaws gets answered
A board member needs a rule before the next meeting. Read it as a list of steps: who does each one, and where a person checks.
What do our bylaws say about parking in the courtyard? Can we charge for it?
I searched your uploaded bylaws and last year’s meeting minutes and found two passages.
Bylaws, page 4: “Use of the courtyard is regulated by decision of the general meeting.” Minutes of the annual meeting, page 2: “Courtyard parking was discussed; no decision was taken.” So the decision belongs to the general meeting. This is a summary of your documents, not legal advice.
You check: read the source The answer comes with a source card: the excerpt, “Bylaws”, page 4. Open the bylaws in Documents and read the passage before you act.
The quotes and document names in this example are made up. In your account the answer quotes your own documents.
Who does what
AI
- Searches the indexed passages of your documents by meaning and writes the answer with the quote, the document and the page (AI credits).
Automation
- Indexes each document as soon as it is uploaded (PDF, Word, Excel; scans through OCR) and keeps its status: indexing, indexed or failed.
- Keeps every organisation’s documents separate, and shows residents only what is marked visible to them.
Our team
- Walks you through uploading the documents and marking which ones residents may see, when you start.
Your staff
- You upload the documents and choose which ones residents may see.
- You open the document the source card names and read the passage before you act.
You approve: The source card shows the excerpt, the document and the page; you open that document, read the passage and decide. The assistant does not act on an answer, and the answer is not legal advice.
What changes for each person
Steps move off the person; the decisions stay with them. This page shows who does which step, not how many people you need.
Chairman or board member
- Dig through folders and e-mails for the bylaw or the minutes of the meeting.
- Ask the question in plain words and get the passage with its page.
- Read the source, and take the decision that the bylaws leave to the board or the meeting.
Accountant
- Look up the contract or the tariff by hand before each payment or invoice.
- Ask what the contract says about the term or the rate, and open the page it came from.
- Check the figure in the contract itself and book it in your own accounts.
Dispatcher
- Search for the warranty or service terms while the resident waits.
- Ask for the clause in your documents and read it out with its page.
- Decide what to do with the request.
Add it to the setup you have
You do not start from zero, and you do not switch everything on one day.
Send us your export
An Excel or CSV file of buildings, apartments, owners and balances from the system you use today. We load it and reconcile it, so balances match before anyone relies on them.
Run on top of what you have
Accounting and the books stay in your system. Unitify takes the resident side and mirrors the data. Connecting a specific system is set up per project and starts with a test building.
Start free on one building
Sign up for the free plan, add one building and move this one job over. No card, no expiry.
How we move you over
Once you give us access, we move you over within one week. Or Unitify runs on top of your current system and mirrors its data, so you do not have to switch everything at once.
- 1
You share access or exports
Open your current system to us, or send exports: buildings, apartments, owners and balances.
- 2
We import and reconcile
We load everything into Unitify and check it against your records, so balances match before anyone relies on them.
- 3
A trial period alongside, or mirroring
Run Unitify next to your current system for a trial period, or keep working where you are while Unitify mirrors its data.
- 4
You switch
When you are ready, Unitify becomes the system you work in.
What it costs
Answers are AI operations, billed per operation in AI credits on top of the plan price (the price list is below). The Free plan has no AI features. The live pricing page shows every plan.
AI operations and credits
AI features are billed per completed operation, on top of the per-apartment price. 1 AI credit = $0.01. Each operation has a set number of credits and an included processing budget; an operation that exceeds its budget counts as two.
| AI operation | What is included | Credits |
|---|---|---|
| AI concierge chat dialogue | One resident, one topic, up to 20,000 tokens of processing | 25 |
| AI concierge voice reply | One minute of conversation, including speech recognition and synthesis | 15 |
| Request classification | Category, urgency and assignee, up to 3,000 tokens | 2 |
| AI report | One report per building or organisation, up to 50,000 tokens | 50 |
| Document parsing | One page of technical documentation or a supplier invoice | 5 |
The first 500 credits each month are included in Pro and do not roll over.
Answers from documents: questions
Can the AI tell me what my HOA bylaws say?
It finds the passage in the bylaws you uploaded and answers with the quote, the document name and the page. You open the source and read it before you act.
Which files does it read?
PDF, Word and Excel files, and scanned pages through OCR. Each document shows whether it is indexed, still indexing or failed.
Can residents ask it questions?
Residents see only documents you marked as visible to residents. The mark works at the level of the organisation: a marked document can be read by the residents of the whole organisation, not only of the building it is attached to. The AI chat for residents is off until you switch it on for your organisation; the staff assistant is the main way to use this.
Is the answer legal advice?
No. It summarises your own documents and points to the page. What is valid under the law is a question for a lawyer.
Are our documents mixed with other customers’ documents?
No. Search is limited to your organisation’s documents.
What does it answer from?
From the documents you upload that show as indexed. Upload the ones that are missing, and scan pages clearly, so they are part of the answer.
What does it cost?
