Property billing is one of those processes that often looks manageable from the outside but becomes increasingly complicated behind the scenes.

Invoices may be calculated in accounting software that only a specialist understands. In other companies, the entire process still depends on Excel files filled with formulas, manual corrections and data copied from several different systems. As a result, accountants can spend one or even several working days every month preparing invoices. When a resident asks why a particular amount was charged, finding a clear answer may take even more time.

We built Easybilly to make billing simpler — and now it is available to any property management company or HOA that wants to use it.

There is no subscription and no per-apartment fee. You pay only for the invoices you generate: $0.25 per invoice. For example, billing 500 apartments with Easybilly costs $125 per month, compared with around $500 per month under traditional per-unit pricing.

Set Everything Up Once

The main idea behind Easybilly is simple: billing should not have to be rebuilt every month.

When adding a building, a property manager can import apartments, areas, owners and other data from an Excel template or enter the information manually.

The system can then be configured according to the billing rules used in that particular building. A service may be charged:

  • per square metre;

  • per apartment;

  • per resident;

  • as a fixed amount;

  • or according to another applicable calculation method.

Management companies can add maintenance fees, utilities, reserve funds and other services provided in the building.

Meter types and utility tariffs can also be configured where required. For companies that do not bill residents for utilities, these steps can simply be skipped.

Keep Existing Account Numbers and Balances

Moving to a new billing system should not create confusion for residents.

Easybilly allows management companies to import existing resident account numbers from their previous billing system. New account numbers can also be generated automatically or created using a chosen prefix.

Opening balances can be uploaded from Excel, allowing the system to reflect how much each resident owes at the moment the company begins using Easybilly.

For a newly completed building, the company can start with a zero balance and create the billing history from scratch.

Generate Monthly Invoices in Minutes

Once the building, apartments and billing rules have been configured, monthly billing becomes much easier.

A manager selects the building and billing period, chooses the apartments and reviews the calculations. Easybilly applies the configured tariffs and formulas automatically, showing the charge for every service and the total for each apartment.

After a final check, invoices can be generated for the entire building.

Instead of repeatedly working with formulas, copying information between spreadsheets and manually preparing individual bills, the team can complete the main billing process in just a few minutes.

Make Bills Clearer for Residents

Billing is not complete when an invoice is issued. Residents still need to understand it and pay it.

With Easybilly, residents can open the app, see how much they owe and review the services included in the bill. They can then make the payment without manually entering the management company’s bank details.

This creates a much simpler experience for residents and helps property management companies collect payments faster.

The management team can see incoming payments in the system and understand which invoices have been paid and which balances remain outstanding.
